The single most important distinction for an IT admin is the difference between consumer and enterprise tiers of the same AI product. They can look identical on screen and behave very differently with your data.
On most consumer tiers as of 2026 — the free and personal paid plans of the major chat assistants — inputs may be used to train or improve the model unless a user finds and flips an opt-out, and retention windows can run for many months. On enterprise and business tiers, the vendors now generally commit that customer content is not used for training by default, offer configurable or zero retention, and support data residency and admin controls.
Two practical takeaways. First, the plan tier, not the brand, decides the risk. An employee on a personal account of a well-known assistant may have weaker protections than a lesser-known tool bought on a business plan. Second, promises live in the contract and the admin settings, not the marketing page. Read the data processing terms, confirm the no-training default in writing, and check whether retention is actually set the way you assume.
